How BlueFlame Heating & Cooling recovered $38,000 in revenue from calls they used to miss.

Before FlowAI, BlueFlame was answering 41% of inbound calls and losing roughly three after-hours emergencies a week to voicemail. In 90 days they flipped the script — 98% answer rate, 73 after-hours callers recovered, and 47 emergency AC jobs back on the board.

The problem

A four-tech HVAC shop, a five-person front office, and a ringing phone after 5 PM.

BlueFlame Heating & Cooling runs four HVAC crews out of Round Rock, Texas. Their front desk answered the business line in person until 5, then it rang through to RingCentral voicemail until morning. By owner Dave Marsh's own count, roughly 59% of their inbound calls were going to voicemail after hours — a number uncomfortably close to the industry baseline FlowAI's landing page cites.

Weekends were worse. Dave was on-call himself, but his cell was also the on-call line — meaning the same person fielding 2 AM "my AC just went out" calls was the one losing the most sleep. Sara K., their dispatcher, would arrive Monday morning to a voicemail box with twenty-plus unheard messages, half of which had already moved on to the next HVAC company on Google.

The setup

Calendly for quotes. Live-transfer for true emergencies. One-hour onboarding.

BlueFlame went live with FlowAI in under an hour. During onboarding Dave picked the intake model he actually wanted — Calendly self-booking for non-emergency service quotes and tune-ups, and a live-transfer path to his cell for any call where the homeowner said "no-AC," "no-heat," or "gas smell." FlowAI decides between the two based on the caller's words, not a rigid script.

Booked appointments land directly in their ServiceTitan dispatch board — full job notes, address, and the captured reason-for-call attached to the ticket, so the tech who shows up already knows whether the caller mentioned pets, gate codes, or an elderly parent in the home. Pricing is the same flat Growth plan every other contractor on this site pays, and the monthly cost was less than Dave was already losing on a single missed emergency AC call.

The results

The numbers that line up with the landing-page claims.

Every metric below is from BlueFlame's own call and dispatch logs. Each one matches one of the five statistics on the FlowAI landing page so you can verify them side by side.

"We were answering 41% of our calls and treating the other 59% like they didn't exist. FlowAI answered the first ring, booked the job, and texted me the summary before the caller even hung up. The math stopped being a debate on day eleven."
